1. Our role
Divinova Solutions acts as the responsible party for the personal information you provide directly to us. Where we submit information on your behalf to a third party as part of an administrative process, that third party processes the information under its own rules and policies.
2. Information we collect
- Identifying information such as your full name, identity or passport number and date of birth.
- Contact information such as your email address, telephone number and physical address.
- Business information relating to the entity or service you are requesting.
- Documents you upload in support of your request.
- Payment references and proof of payment (we do not store card details).
- Technical information such as log data needed to keep the platform secure.
3. Why we process it
- To deliver the service you requested and to complete the related administrative process.
- To communicate with you about your request, including status updates.
- To issue quotations, invoices and receipts.
- To comply with legal, accounting and record-keeping obligations.
4. Lawful basis and consent
We process your personal information because it is necessary to perform the service you asked for, to comply with the law, or because you have consented. Where consent is the basis, you may withdraw it at any time by contacting us — although this may mean we can no longer complete your request.
5. Minimality
We only ask for the information and documents required for the specific service you selected. If a document is not needed for your request, we do not ask for it.
6. Sharing your information
- With the relevant authority or institution required to process your specific request.
- With service providers that host our platform, send our emails or process our payments, under confidentiality obligations.
- Where we are legally required to disclose information.
We do not sell your personal information, and we do not use it for unrelated marketing.
7. Security safeguards
Access to your information is restricted to authorised personnel who need it to process your request. Documents are stored in access-controlled storage, the website is served over encrypted connections, and customer accounts are protected by authentication. No system can be guaranteed to be completely secure, so please contact us immediately if you suspect any unauthorised access to your account.
8. Retention
We keep your information for as long as needed to deliver your service and thereafter for the periods required by applicable law, after which it is deleted or de-identified.
9. Your rights
- To ask what personal information we hold about you.
- To request correction or deletion of inaccurate, irrelevant or excessive information.
- To object to processing in the circumstances allowed by POPIA.
- To withdraw consent where processing is based on consent.
- To lodge a complaint with the Information Regulator of South Africa.
10. Requests and complaints
Send any POPIA request or complaint to us using the contact details below. We will acknowledge your request and respond within a reasonable period.
11. Changes to this policy
We may update this policy from time to time. The current version is always available on this page.
